The Zotero tab is gone, Add/Edit Citation does nothing, or the bibliography is stuck on last week’s library. Those are three different failures, and Zotero’s word-processor troubleshooting page treats them as three different fixes. This walkthrough follows that page: the plugin was never installed or Word has disabled it, Zotero is not actually running, Mac permissions and Word updates, LibreOffice, citations flattened to plain text, and a bibliography that will not refresh. Menu names below are the ones in Zotero’s English documentation.
The ordinary way to build the bibliography, once the tab is back, is in creating a bibliography in Word. Day-to-day library habits — the Connector, collections, picking a style before the first citation — are in getting the most out of Zotero.
What Zotero actually supports
Zotero’s system requirements list Word 2010–2024 or Office 365 on Windows, excluding Word 2010 Starter, and Word 2016–2024 or Office 365 on Mac. LibreOffice needs 5.2 or later, plus Java. Apache OpenOffice and NeoOffice are not supported. The Word for Windows plugin is not supported under Wine or similar compatibility layers; LibreOffice is the documented route on Linux.
Zotero has to be running — not the website, and not the Connector
The message “Word could not communicate with Zotero. Please ensure Zotero is running and try again.” means the Zotero application on your computer. zotero.org and the browser Connector do not stand in for it. Zotero’s order is: close Word, restart Zotero, then start Word. If that fails, restart the computer and open Zotero before Word. Both programs need to run as the same user, and neither as administrator.
Use the same order when the buttons do nothing, or when “Zotero experienced an error updating your document.” already appears in a brand-new empty file. If it still fails, delete Zotero.dotm from the Word Startup folder, restart Word until the tab is gone, and reinstall the add-in. The steps live on the troubleshooting page.
Reinstall the plugin from Zotero’s settings
The plugins ship with Zotero and are meant to install themselves for each supported word processor the first time you start the app. To put one back: close Word or LibreOffice, open Zotero’s settings, open the Cite tab, scroll to Word Processors, and click “Install Microsoft Word Add-in” or “Install LibreOffice Add-in”. Restart the word processor. Installation is described on Installing the Zotero Word Processor Plugins. If it errors because the word processor is still open, use Troubleshooting Errors with Word Processor Plugin Installation. If installation finishes and the tab is still missing, Zotero points you at manual installation from the same troubleshooting page.
Windows: the add-in is disabled, or Word will not load it
Try the general steps first. Then in Word go to File → Options → Add-ins and look for Zotero.dotm.
- Under Inactive Application Add-ins: at Manage, choose “Word Add-ins”, click Go, and tick
Zotero.dotm. - Under Disabled Application Add-ins: set Manage to “Disabled Items”, click Go, select
Zotero.dotm, and click Enable.
In Trust Center (File → Options → Trust Center → Trust Center Settings), under Add-ins, “Require Application Add-ins to be signed by Trusted Publisher” and “Disable all Application Add-ins” need to be unchecked. Restart Word. If the tab is still absent, set Macro Settings to “Disable all macros with notification”, restart Word, and choose Enable Content if Word asks.
A tab with an empty label means Word’s macro settings are blocking the plugin. Trusted Locations has to include the Word Startup folder. You find that path under Word Options → Advanced, via “File Locations…”.
On a university machine, policy can block templates. Zotero names the Intune policy “Disable UI extending from documents and templates” specifically. That is an IT question, not another toggle in Zotero.
A modified Normal.dotm can hide the tab as well. Close Word, press Windows+R, paste %APPDATA%\Microsoft\Templates, rename Normal.dotm to Normal.dotm.bak, and restart Word. That restores the default template.
On 10 June 2026 Zotero noted that Microsoft’s Windows security updates of 9 June broke Word integration on Windows. The fix is Zotero 9.0.5, via Help → “Check for Updates…”. That note is on Troubleshooting Errors in Word Processor Documents. If every document failed right after a Windows update, start there before you delete fields.
Two further Windows cases from the troubleshooting page, and only when the message matches: run-time error 5097 after the Windows 10 October 2018 update is fixed by setting the regional format to English (United States) or English (United Kingdom), then restarting Word. “This command is not available because no document is open” can be OneDrive; move the file to another folder. Zotero says Dropbox and Google Drive are not affected in that note. Editing a Zotero document in Google Docs’ word processor breaks the citations.
Mac: permission, Word updates, and the Startup file
The Mac plugin needs permission for Zotero to control Word. If you press Don’t Allow on the first prompt, every later attempt shows “Missing Permissions” until you grant it. On macOS 13 Ventura and later, Zotero’s steps are: System Settings → Privacy & Security → Automation, expand Zotero, enable Microsoft Word, restart Word. On macOS 12 and earlier: System Preferences → Security & Privacy → Automation, tick Microsoft Word under Zotero, restart Word.
On macOS 15 Sequoia, installing the plugin also asks Zotero to “access data from other apps”. Without Allow, Zotero cannot copy the plugin into the Word Startup folder. Restart Zotero, install the add-in again from the Cite pane, and choose Allow. Details are on the installation-error page.
If the tab is missing in Word 2016 or later: general steps first, then the latest stable Word, not an Insider build. Insider previews, especially Insider Fast, can make the add-in misbehave or disappear; Zotero’s documented way back is the stable release, on Downgrade from Insider. Then Tools → Templates and Add-ins: Zotero.dotm should be listed under Global Templates and Add-ins and checked.
If Zotero is open and Word still says it could not communicate, the plugin inside Word is probably stale. Delete Zotero.dotm from the Startup folder, restart Word, confirm the tab is gone, and reinstall. No response at all: restart Word; if it stays silent, the same delete-and-reinstall. Clipboard utilities, and the audio plugins Voxengo SPAN and Voloco, are called out on the troubleshooting page as things that interfere with inserting citations. Disable them while you test.
LibreOffice: toolbar missing, or buttons that do nothing
LibreOffice 5.2 or later, with Java. Buttons that die after a LibreOffice update usually mean Java is not available; on macOS, LibreOffice needs a JDK, not a JRE. Look for the toolbar under View → Toolbars. If it is not there, check Tools → Extension Manager, and otherwise click “Install LibreOffice Add-in” in Zotero again. The toolbar itself — Add/Edit Citation, Add/Edit Bibliography, Document Preferences, Refresh, Unlink Citations — is documented in Using the Zotero LibreOffice Plugin.
A new document works, the thesis does not
If you can cite in an empty document and the real file errors, the document is the problem, not the installation. Zotero’s procedure is Troubleshooting Errors in Word Processor Documents. The part that covers most theses:
- Restart Zotero and Word, both on current versions.
- Turn off Track Changes while you test. If it was on, accept all changes and try again. Zotero warns that Track Changes can mark fields as edited or display field codes.
- Delete citations that were pasted into image captions. Zotero will not insert them there; a copied one is enough to break the document.
- Copy the content into a new document. Older citations are often recognized only after “Set Document Preferences”.
- Duplicate the file itself — do not copy-paste the body into a “backup”. On Windows with OneDrive, save that copy on the local drive, or remove spaces from the file name.
- In the copy, switch bibliography style. If the error remains, delete the bibliography entirely and test again.
- Isolate the broken spot: in the copy, delete half the content at a time until one passage is left, then remove that passage from the original.
Toggle field codes in Word with Alt/Option-F9 (add Fn if the keyboard needs it). The full list, including LibreOffice and Google Docs, is on that same page. Keep the file duplicate from step 5. Do not overwrite it with a halved draft.
Citations are plain text, and the bibliography no longer follows
Click a citation. No gray highlight means it is no longer an active field. Add/Edit Citation then opens an empty dialog instead of the existing cite. Why isn’t Zotero detecting my existing citations? lists what follows: “You must insert a citation before performing this operation”, a bibliography missing cites that are still in the text, or a numeric style that starts again at 1.
Documented causes:
- Unlink Citations. The button disconnects the document from Zotero and turns citations and the bibliography into plain text. You cannot undo it.
- The wrong file type. In Word, save as
.docx. Saving as.odtdrops active citations. In LibreOffice, the default ReferenceMarks need.odt; if you store citations as Bookmarks, you need.docx. - Another app. Pages does not support these fields. Most online word processors do not either. Word Online does support fields, so it can open a Word file that contains Zotero fields, but Zotero says a plugin is not currently available there. Opening a Word or LibreOffice file directly in Google Docs — or the reverse — breaks existing citations; Zotero documents a separate transfer for that.
- Word and LibreOffice mixed. LibreOffice ReferenceMarks break in Word, and Word fields break in LibreOffice. To pass a file between them, set “Store Citations as” to Bookmarks in Document Preferences. Zotero recommends Fields unless you actually need that compatibility, because Bookmarks can error if they are edited by accident.
Once citations are flat, Zotero’s options are: restore a backup, insert the citations again with the plugin, or edit by hand from here and build a final bibliography from a Zotero collection without the plugin. If only the bibliography is flat and the in-text citations are still active, Add/Edit Bibliography is enough.
The bibliography will not refresh
While the fields are active, Refresh updates citations and the bibliography from whatever changed in the library. Adding or removing a citation in the text updates the bibliography as you go. Hand edits you make to the bibliography in Word are overwritten the next time Zotero refreshes.
A dashed underline means automatic updates are off. Zotero offers to turn them off in long documents, because each new citation would otherwise rewrite others and the bibliography. The switch is “Automatically update citations” in Document Preferences. Before you submit, click Refresh once, or the formatting stays behind. See Why are my citations underlined with a dashed line?.
The field is still active, but a corrected title never arrives: either you edited the citation text in Word and told Zotero not to update it, or the citation is no longer linked to an item in your library. Add/Edit Citation offers a reset in the first case. In the second, the blue bubble has no “Open in My Library” button. Delete the citation and insert it again from the library section of the search results, not from Cited. Zotero lists a deleted duplicate, a delete-and-reimport, and a citation that originated in Mendeley. Details: Why is a citation not updated?.
You change style in Document Preferences, not by retyping: citation style, the language used for citations and the bibliography, footnotes or endnotes for note styles, and Fields or Bookmarks. Fields is the default unless you are collaborating in LibreOffice. Word, not Zotero, controls how footnotes look.
Copy the file before you unlink anything
Unlink Citations strips the field codes. After that there is no Refresh and no style switch. Zotero is explicit: unlink in a copy, and keep the original with live citations in case a supervisor, or a different style, still needs changes. The button, and the manual shortcut — select all, then Ctrl-Shift-F9, or on a Mac Cmd-Shift-Fn-F9 or Cmd-6 — are on How do I unlink all Zotero citations?. The shortcut flattens every field in the document, not only Zotero’s.
Use that same copy before you hand-edit a bibliography or start deleting halves of a broken file.
Once the fields work, check that the sources do
A working plugin inserts the citation and the bibliography. It does not check that the item exists, that the page number matches the claim, or that the source says what the sentence says. If you are still choosing a reference manager, the comparison is in reference managers compared. On a Mac without Citavi, start with a Citavi alternative for Mac.
For a first pass over the list, paste it into the free Quick Check — no sign-up. How the check is structured is on the bibliography checker page. Matching the claim against the full text is what Acurio does on the uploaded document, which neither Word nor Zotero does.
A missing tab, a disabled add-in, Zotero not running, or fields already flattened to text: each of those is recoverable, as long as you keep the original with active citations and use a copy for anything that destroys fields.
