Citavi is one of the best-known reference managers in the German-speaking world — and it still won’t run on your MacBook. If your university has a Citavi campus license and you own a Mac, you face the same question as everyone else: put up with the browser version, emulate Windows, or switch tools? This guide answers it honestly, compares the alternatives and walks through the migration.
Why there is no Citavi for Mac
Citavi Desktop is a classic Windows application, tightly coupled to .NET and Word’s Windows integration. The vendor — Lumivero, since the acquisition — has never put a native macOS client on the roadmap. What exists instead is Citavi Web: a browser version that runs on any operating system but doesn’t match the desktop client’s feature set.
That leaves Mac users with three options:
- Citavi Web in the browser — works, but feels noticeably slower; knowledge organization and the task planner are cut down.
- A Windows VM (Parallels, VMware) — the full client, paid for with license costs, RAM usage and constant context switching between two operating systems.
- Switching to a tool with a native Mac client — for most people the cleanest solution, especially at the start of a thesis.
The first two are worth it only if your university mandates Citavi or you are mid-thesis. In every other case, switching is done faster than setting up a VM.
The best Citavi alternatives on a Mac
Zotero — the default choice
What it is: Free, open source, run by a non-profit. Native clients for macOS (including Apple Silicon), Windows and Linux.
Why it replaces Citavi: Browser connector for one-click imports, Word and Google Docs plugins, more than 10,000 citation styles, a PDF reader with annotations. Citavi’s category system maps onto collections, tags and notes — organized differently, but equivalent in day-to-day use.
Weakness: No task planner, and knowledge organization is less structured than Citavi’s knowledge items. Cloud sync beyond 300 MB costs money.
Mendeley — solid, but Elsevier
What it is: Elsevier’s free reference manager with a native Mac client (Mendeley Reference Manager) and 2 GB of free storage.
Why it fits: Good PDF workflow, widespread in the natural sciences and medicine. Word support via Mendeley Cite.
Weakness: Fewer citation styles than Zotero, a feature set that has shrunk rather than grown in recent years, and your library lives with Elsevier.
EndNote — the paid classic
What it is: Clarivate’s commercial reference manager with a full macOS client. Many universities provide campus licenses.
Why it fits: Strong with large libraries and when collaborating with supervisors who also use EndNote; mature Word integration.
Weakness: Expensive without a campus license. For a single bachelor’s or master’s thesis, the feature set rarely justifies the price.
Paperpile — lightweight for Google Docs
What it is: Subscription-based reference manager (student pricing) that lives in the browser with a strong Google Docs integration; Word support via an add-in.
Why it fits: If your thesis is written in Google Docs anyway, Paperpile is the smoothest option on a Mac.
Weakness: Subscription instead of one-time purchase, less powerful for notes and knowledge organization.
JabRef — for LaTeX theses
What it is: Free, open-source BibTeX manager with a Mac client.
Why it fits: If you write your thesis in LaTeX, JabRef gives you the most direct BibTeX workflow.
Weakness: Unsuitable for Word users; no citation-style ecosystem like Zotero’s.

Migrating from Citavi to Zotero in four steps
- Export from Citavi: Open the project, select all titles, and save via File → Export as RIS (or BibTeX for LaTeX theses). RIS preserves the most metadata.
- Save your knowledge items: Quotes, comments and categories are not part of the RIS export. Export them separately (e.g. as a Word or Excel report through Citavi’s report function), or they are gone.
- Import into Zotero: File → Import, pick the RIS file. Zotero automatically creates a collection with the import date. Spot-check special characters, umlauts and page numbers.
- Connect the Word plugin: Zotero installs its Word add-in automatically. In an ongoing thesis you’ll have to replace existing Citavi fields with Zotero citations once — which is why switching mid-endgame rarely pays off.
For how to set up Zotero efficiently afterwards — connector, Better BibTeX, tag system — see the Zotero workflow tips.
What switching does not solve
Citavi, Zotero or EndNote: a reference manager formats your citations, but it never checks whether they are substantively correct. Whether the claim in your text is actually supported by the cited source, whether the page number is right, whether the source even exists — no reference manager sees that. That check is exactly what Acurio does: upload your thesis and sources, and every citation is verified against the original. The citation style doesn’t matter — here’s an overview of the common styles.
Existence first: Before the content check, a prefilled example shows how fabricated and mismatched entries look. Check a sample citation →
Checklist: picking your Citavi alternative
- You write in Word or LibreOffice → Zotero.
- You write in Google Docs → Zotero or Paperpile.
- You write in LaTeX → JabRef, or Zotero with Better BibTeX.
- Your university provides an EndNote campus license and your peers use it → EndNote.
- You genuinely need Citavi’s task planner and knowledge items → Citavi Web in the browser, accepting the trade-offs.
- You are in the middle of your thesis → keep your current setup and switch afterwards.
