Block quotations done right — formatting, punctuation, alternatives

A block quote is not a longer version of a normal quotation. It’s a distinct typographic device that signals: what follows is a longer thought from someone else that I didn’t paraphrase because the exact wording matters. Set badly, it reads like foreign material you failed to digest. Set well, it carries your argument. This post covers when a quotation becomes a block quote, how to format it in APA, Harvard, Chicago and MLA — and when a paraphrase would serve you better.

What is a block quote?

A block quote (also display quotation) is a longer verbatim quotation that is set off from the body text. Instead of appearing between quotation marks inside a paragraph, it gets its own block: indented, without quotation marks, often at a tighter line spacing.

The point: the reader sees at a glance that this is a closed passage from another source — not a single thought slotted into your sentence, but a quotation meant to stand on its own.

When does a quotation become a block quote?

The threshold varies by style:

Almost every departmental guide states the number — check it first. If your institution sets its own threshold (say “3 or more lines”), it overrides every official style rule.

Formatting: what stays, what goes

A block quote differs from a normal quotation in four ways:

1. New line. It starts on a new line, with a paragraph break before and after.
2. Indentation. APA and MLA indent 1.27 cm (0.5 inch) from the left. Chicago allows both left and right indentation. The exact measure matters less than consistency — pick one and stick with it.
3. No quotation marks. The indentation replaces them. Adding quotation marks on top is explicitly wrong in APA, MLA and Chicago.
4. Citation after the closing period. Unlike an in-text citation, the parenthetical comes after the sentence-ending period, not before.

Line spacing has no hard rule: APA says “same as the rest of the text”, MLA requires double spacing. Some departments prefer single spacing inside the block for visual contrast. Check the template.

Examples by style

APA 7

Weber (2023) describes the role of trust as follows:

Trust in qualitative interviews is not an extra but a precondition for respondents to answer openly. Without that foundation, even the best interview guides produce nothing more than socially desirable answers with no scientific value. (p. 42)

Note: no quotation marks, no “cf.”, the citation in parentheses after the period.

Harvard

Trust in qualitative interviews is not an extra but a precondition for respondents to answer openly. Without that foundation, even the best interview guides produce nothing more than socially desirable answers with no scientific value. (Weber 2023, p. 42)

Almost identical to APA, only without the comma between author and year. Exact punctuation varies across Harvard variants (Cite Them Right, Anglia, Manchester) — your department decides.

Chicago author-date

Trust in qualitative interviews is not an extra but a precondition for respondents to answer openly. (Weber 2023, 42)

Chicago uses neither “p.” nor “S.” before the page number.

Chicago notes

Weber treats trust as the foundation of any qualitative inquiry:

Trust in qualitative interviews is not an extra but a precondition for respondents to answer openly.¹

¹ Weber, Qualitative Methods, 42.

The citation moves to the footnote — indentation rules stay the same.

MLA 9

Weber makes this priority explicit:

Trust in qualitative interviews is not an extra but a precondition for respondents to answer openly. Without that foundation, even the best interview guides produce nothing more than socially desirable answers with no scientific value. (42)

Because the author’s name appeared in the sentence, only the page number goes in the parenthetical.

Omissions, insertions, emphasis

Inside a block quote you’ll occasionally need to intervene. There are fixed conventions:

Omission: [...] When you drop something in the middle, mark it with three dots in square brackets. The square brackets are what matters — they show that the omission is yours, not the author’s. Bare ellipses (...) are ambiguous.

You don’t need ellipsis marks at the start or end of a block quote as long as the meaning is preserved. But if you quote half a sentence, integrate it grammatically or mark it with [...].

Insertion: [your addition] An explanation of yours (a referent, a term) goes in square brackets:

The author argues that this practice [meaning anonymous peer review] does not guarantee quality. (Müller 2022, p. 88)

Grammatical change: [T] If you need to change an initial letter because the quotation is folded into your sentence, put the changed letter in square brackets:

Original: “The study shows that …” In your text: Weber argues that “[t]he study shows that …” (Weber 2023, p. 12)

Emphasis: [emphasis in original] or [emphasis added] If you italicise or bold something the original doesn’t, mark it. The other way round too: if italics are already in the original, note “emphasis in original”.

Errors in the original: [sic] Keep them and mark with [sic], without comment. This is not a judgement — it’s a clarification that the error isn’t yours.

Punctuation: the most common mistakes

1. Citation before the period. In a normal quotation the parenthetical goes before the period. In a block quote it goes after — because the block is treated as its own typographic element.

• Wrong: ... no scientific value (Weber 2023, p. 42).
• Right: ... no scientific value. (Weber 2023, p. 42)

2. Quotation marks around the block. Redundant. Leave them out.

3. Silently changing quotation marks in the original. Single marks stay single, double stay double. Don’t tidy the source.

4. Losing paragraph breaks. If the original spans two paragraphs, keep the break. Some styles require an extra indent on the second paragraph.

5. Line breaks in poetry. Verse lines are separated with / when quoted inline, or preserved as-is when set as a block. Three or more lines almost always call for a block.

When should you paraphrase instead?

Block quotes are a strong device — and almost always overused. Before every block quote, ask three questions:

1. Does the exact wording matter? For definitions, memorable formulations, legal or literary texts: yes. For explanations, empirical findings, descriptions: no. Paraphrase.

2. Am I carrying the quote, or is it carrying me? A block quote in the middle of a weak argument reads like a crutch. If you don’t follow the quote with a thought of your own that places it, the quote doesn’t belong there.

3. How many block quotes does this paragraph have? Two block quotes in a row is almost always too many. The text fragments into other people’s voices, and your argument disappears. Paraphrase one.

Rule of thumb: one block quote every two pages is a lot; one every five pages is normal. More than four block quotes in a single chapter — cut two and paraphrase.

Block quotes in the word count

Almost every examination regulation counts block quotes towards the required word count. A few subtract verbatim quotations — in that case, long block quotes are self-defeating. If the guide doesn’t say, assume everything counts.

The second effect: a paragraph with a lot of block quotes contains less of your text per page. Examiners notice. If 15% of your thesis is block quotes, it will be marked as “insufficient original work” no matter how well the quotes are chosen.

Block quotes in legal writing

Law has its own conventions. For questions of interpretation, long quotations from statutes, regulations and rulings are standard and expected — the exact wording is the subject of the argument. What to watch for:

• Paragraph numbers instead of page numbers in judgments (US federal court reporters, UKSC/EWCA judgments, EU Court of Justice rulings).
• Official reports with volume, page, and paragraph reference where required.
• No omissions in statutory text — anyone quoting a statute quotes it in full, otherwise the argument is unusable.

Chicago notes and department-specific styles dominate here — follow your faculty’s guide.

LaTeX and Word: the mechanics

Word: use the “Quotation” or “Block Quote” style. Don’t indent with Tab — it breaks on reformatting. If no style exists, create one with “Left indent: 1.27 cm”, “No first-line indent”, “Line spacing: single or same as body”.

LaTeX: \begin{quote}...\end{quote} (short block quotes) or \begin{quotation}...\end{quotation} (multiple paragraphs with first-line indent). The csquotes package provides \blockquote{...} with style-correct indentation.

Markdown / MDX: > at the start of the line for a blockquote. Not enough for formal block quotes on its own — you’ll want a dedicated component that handles indentation and citation placement.

In both worlds the same warning applies: the style needs to do what you think it does. After export, check that the indentation is really on the left and that the citation sits after the period.

How Acurio helps with block quotes

A block quote that doesn’t faithfully match its source is more dangerous than a normal misquotation: because it’s long, it looks credible. Acurio reads your uploaded sources and compares every verbatim quotation — block quotes included — word for word against the original text. Missing words, swapped numbers, shifted meanings show up immediately.

The most common block-quote errors Acurio surfaces:

• A sentence from the original is dropped without marking it with [...].
• A “not” is missing and flips the meaning.
• The page number doesn’t match the passage cited.
• The quote is from a different edition than the one you cite.

Before the content check, a prefilled example shows how fabricated and mismatched entries look. Check a sample citation →

Pre-submission checklist

• Length correctly classified? Above the style’s threshold = block quote; below = quotation marks in the body.
• Indented instead of quoted? Using both is redundant.
• Citation after the period? In a block quote, yes — the opposite of an in-text citation.
• Omissions with [...]? Not with a bare ellipsis or round brackets.
• Changes in square brackets? Grammatical fixes, insertions, emphasis.
• Wording actually identical to the source? This is the question examiners ask, and the only one the eye reliably misses.
• Block quote carries the argument? No block quote without your own framing before or after.

A neatly set block quote shows you work precisely. A sloppy one shows the opposite — over half a page. No other element in your thesis is so exposed.
